How to set up crews

A crew is a team you assign jobs to, which is not the same as a field worker. Enable crew features, create crews, and group their work on the calendar and map.

Once you are running more than one truck, you stop assigning jobs to people and start assigning them to crews. ClippingCash keeps the two ideas separate on purpose.

A crew is a team you assign jobs to. It is not the same as a field worker. A worker is a person with a login and a phone. A crew is a unit of work. One crew can contain several workers, and jobs go to the crew.

1 Turn crew features on

Crew features are part of the Growing plan, and they ship switched off. Until you enable them the page tells you so: Crew features are disabled, with a prompt to turn them on below.

There is a toggle on the Crews page. Flip it before doing anything else, because you cannot create a crew until it is on.

If you are a solo operator, leave this off. It adds a layer you do not need, and jobs assigned directly to you work fine.

2 Create your crews

With the feature on, create a crew and name it. Name crews after something stable rather than after people, because people change and your job history does not.

Good: Truck 1, North Route, Mowing Crew A. Less good: Dave and Mike, which becomes confusing the week Mike leaves.

3 Put workers in crews

Crew membership is set on the Workers page, not here. That catches people out: you create the crew on the Crews page, then go to Workers and use the Crew dropdown on each worker’s row to put them in it.

4 What crews get you

Once jobs are assigned to a crew, a crew’s jobs group together on the calendar and map. That is the payoff: instead of one undifferentiated pile of work, you can see what each truck is doing and whether one is overloaded while another has a light day.

It also feeds the reporting. Crew assignment is what lets you compare performance between units rather than guessing.

5 Editing and removing

Each crew row has an edit action to rename it or change its active status, and a delete action to remove it.

Prefer marking a crew inactive over deleting it. Inactive keeps it out of your assignment dropdowns while leaving your history intact. Deleting a crew that ran two seasons of work makes those months harder to interpret later.

Getting the structure right

Start with one crew per truck. That is the model that matches how the work actually happens, and it is the one that makes the calendar and map views useful rather than decorative.

Resist splitting crews by service type unless you genuinely run separate teams for it. A crew that exists on paper but not in the yard is just extra admin.
