How to use the crew report and production pay

See yards mowed, revenue, hours and revenue per hour for each crew and worker, then work out weekly pay estimates: hourly, percent of production, or the greater of the two. Not payroll.

Two questions for anyone with a crew: who is actually producing, and what do I owe each of them this week. The crew and worker report answers the first. Production pay answers the second.

Both are on every plan.

1 Open the crew and worker report

Go to Reports and scroll to the Crew and worker report. It has its own date range, separate from the filter at the top of the page, and starts on this week, Monday to Sunday in your company’s time zone. Pick any other range you like.

Switch between the crews table and the workers table. Each row shows:

  • Yards mowed: completed mowing visits.
  • Other jobs: everything else completed, counted by service.
  • Revenue: what the work billed, before sales tax and fees. A job not invoiced yet counts at its price.
  • Hours: time clocked on the time clock, less breaks.
  • Revenue/hr: revenue divided by hours.

2 How jobs are counted

A job counts for the crew it is assigned to. Jobs with no crew are under Unassigned, so the crew rows add up to the total. Crew hours are the clocked hours of the people in that crew.

A job counts for every worker on it. When several workers share a job, its revenue is split evenly between them, and each one gets the full yard or job. A worker or crew you removed still shows, marked (removed), so past weeks add up.

Revenue here is the same per-visit number profit by property uses. It matches Reports, Revenue only when every visit is invoiced the day it is done with no tax or fees.

3 Set a pay rule

Open Production pay from the menu (owner, admin and bookkeeper). Under Company pay rule, pick how you pay:

  • Hourly: a dollar rate per clocked hour.
  • Production: a Production percent of the revenue the worker produced.
  • Greater of hourly or production: whichever is more for the week.

The owner or an admin sets the rule. Give one worker a different rate or percent and the rest of the company rule still applies to them; that worker shows (own rule).

4 Review and approve the week

The page shows each worker’s hours, production and Estimated pay for the week, with the week’s total and how many workers are approved. A worker with no rule reads No rule.

Check it, then click Approve week for each worker. Approving locks that week’s numbers, so a job edit or rate change later never moves pay you already approved. You can’t approve while the rule is incomplete (Set a pay rule first) or while someone is Still clocked in for that week.

Made a mistake? The owner can reopen an approved week with a reason, fix what was wrong, and approve it again.

5 Export for payroll

Export approved (CSV) downloads the approved workers for the week: worker, week, hours, production, the pay rule and rate, and estimated pay. Hand it to your payroll provider or whoever does your payroll.

These are estimates to give your payroll provider. ClippingCash does not run payroll, make paystubs, or withhold taxes.
