How to send customers a service report after each visit

Turn on service reports in ClippingCash: after a visit, the customer gets a link showing the service, time on site, the on-site check and before and after photos, with a one-time review request.

“You didn’t even come” is a hard call to win from memory. A service report settles it before it starts: after the crew finishes, the customer gets a link to what was done that day, with the photos your crew already took. If you add your Google review link, the first report each customer gets also asks for a review, once.

Service reports are off until you turn them on. They go to your customers under your business name, so ClippingCash never switches them on for you.

1 Turn them on

Go to your Subscription page and open the Texting tab. Find the Service reports card and switch on Send service reports, then click Save service reports.

Only the account owner can change this setting. Reports come with every plan: on a plan without texting they go by email.

Paste your Google review link into Google review link. It has to be the full link, starting with https://.

The first report a customer ever gets carries the ask: A quick review helps a lot, with a Leave a review button that goes to your Google page. That customer is never asked again. Leave the field blank and nothing asks for a review.

With service reports off, the review link still works. The payment receipt email for a customer’s first invoice paid in full carries the same ask instead. A partial payment or a prepayment does not trigger it, and neither does a customer who opted out of email or texted STOP. Either way, each customer is asked once, ever.

3 What the customer gets

When a crew marks the last stop of the day done for that customer, ClippingCash waits 20 minutes, so a second stop the same day joins the same report. Then the customer gets one message:

  • By text if they agreed to texts and haven’t replied STOP, and your plan includes texting. The card shows the exact wording, for example “your lawn mowing is done for today. See photos:” with the link. A report text uses your plan’s texts like any other.
  • By email otherwise, if they have an email address and haven’t unsubscribed from service reports.
  • Nothing if neither works. The report is still there in their customer portal.

Nothing is sent between 9 PM and 8 AM your time; a report held overnight goes out the next morning. If a stop for that customer is still open at 8 PM, the report goes with what was finished.

4 What the report shows

The link opens a page with your logo and brand color, headed Thanks for choosing and your company name. For each job that day it shows:

  • the service and the date,
  • the crew member’s first name,
  • when the crew started and finished, with the minutes on site,
  • Checked in on site when the worker app confirmed the crew was at the property,
  • before and after photos, tap to enlarge. With no photos, that section is left off.

It never shows prices, notes, gate codes, the address or the customer’s contact details. Photos the crew adds after the report went out show up on the page too. The link works for 90 days, and customers who use your portal also get a View service report link on that visit.
