Most “why was I charged extra for leaves” calls start with a customer who was never told. A seasonal heads-up is a short notice, sent before the season turns, that says what your regular price covers and what is billed separately. The owner or an admin sends it from the Customers page.
1 Pick the customers
Go to Customers and click Seasonal heads-up. Tick the customers who should get it, or click Select all shown (the list is checked for you before anything goes out, see step 4), then click Write the message.
2 Pick a message and make it yours
Choose one of three starting messages:
- Fall leaf heads-up, for early to mid September: your mowing price covers a normal cut, and heavy leaf cleanup is billed separately.
- Spring start-up, for March: when mowing starts back up, and that a spring clean-up is billed as a clean-up, not a regular cut.
- Last cut of the season, for late October or early November: the date of the last mow, and that taking leaves off the lawn is a separate visit.
Read the words and change anything you like, the subject too. The spring and last-cut messages have a [date] in them. The dialog warns you while one is left, so fill it in before you send. The message opens with the customer’s first name, so do not start yours with a greeting.
3 Choose how it goes out
- Email, or a text if they have no email (the default).
- Email only.
- Text only, for customers who have opted in to texts.
A customer who opted out of email is not texted instead. Texts go out only between 8am and 9pm in your company’s time zone, need texting set up and a text credit per message, and end with “Reply STOP to opt out”. See how to text your customers and the opt-in link for getting consent.
4 Check the list, then confirm
Before anything is sent, the dialog shows who will get it and who is left out, with the reason next to each name. Nothing goes to a customer until you click the Send to N customers button.
A customer is left out when they:
- are archived,
- had their personal data deleted,
- opted out of email or texted STOP (this counts when the same email address or phone number is on any other customer record of yours),
- used the unsubscribe link in an earlier seasonal email,
- have no email address or phone number, or no text opt-in for a text,
- already got this same message this year.
You can send to up to 200 customers at a time, and to 500 customers a day. The “already got it” rule means a double click or a second try cannot tell the same customer twice. Afterward, the Customers page shows Heads-up sent to N customers this season and a Heads-up sent line on each of those customers’ rows. They come from ClippingCash’s records, so they are still there after you reload the page or open it on another device.
Every email carries the customer’s own unsubscribe link for seasonal notices.
